Abstract Information

Poster Sessions: Authors scheduled in poster sessions will be assigned a numbered poster board space in Heritage Hall of the HUB-Robeson Student Union building for display of illustrative materials such as text, graphs, charts, and tables. The maximum outside dimension of each poster must not exceed 4' x 4' including the title. Information presented on posters should be readable at a distance of three feet. Poster boards can accommodate Velcro attachments or pushpins. Pushpins will be available on-site.

ASV Members with current full-member status are invited to submit or sponsor scientific abstracts for workshop and poster sessions at the annual meeting. A current full member is one who has received notification of his/her election to the Society and whose payment of the 2004 membership dues has been received by the ASV secretary-treasurer's office. Payment of dues must be up-to-date to maintain current member status. To check your membership status, contact the ASV secretary-treasurer's office.

Abstract Deadline
The deadline for receipt for all electronic abstracts is January 14, 2005. Abstracts received after this date will not be included in the program book or scheduled for presentation.

  • Abstract Title: Abstract titles should be concise and informative. Avoid superfluous words such as "preliminary studies on," etc.
  • Abstract Authorship: The first author listed on the abstract must be the person who will actually present the talk or the poster.
  • Abstract Content: The abstract should be educational, containing clear statements indicating the originality of the research and the specific conclusions drawn from the data. It is NOT acceptable to state: "The results will be discussed." Abstracts will be reviewed by the program committee, but will not be edited. Please check your abstracts carefully for errors.
  • Tables and Figures: Tables and figures are permitted in the abstract.

Abstract Presentation Preference
Check the "Presentation Preference" box on the abstract form to indicate whether you wish to present in a poster or workshop session. Abstract withdrawals greatly disrupt the continuity of the program, so do not apply for a workshop presentation unless you are CERTAIN that you or a co-author will attend the meeting and present the paper. Every attempt will be made to honor your preference. However, because of the large number of abstracts, not everyone selecting an oral presentation can be accommodated.

Electronic Submission
All abstracts for the 2005 annual meeting must be submitted ELECTRONICALLY to the Federation of American Societies for Experimental Biology (FASEB) for processing, evaluation, and inclusion in the program book. Complete instructions for electronic submission protocols are provided on the abstract If for some reason you are technically unable to use the abstract Web site for electronic submission, please contact FASEB for further assistance well in advance of the deadline date; asv2005@faseb.org.

Nonmembers, Associate Members, and Student Members may submit abstracts to the annual meeting only if a current full member of ASV sponsors the abstracts. Nonmembers wishing to apply for membership in the American Society for Virology may use the membership application form available on this ASV Web site. However, applicants for full membership status must have received confirmation of their acceptance to the Society before they can sponsor an abstract.

Workshop Presentations
EACH MEETING PARTICIPANT MAY MAKE ONLY ONE WORKSHOP PRESENTATION.

Oral presentations will be limited to 10 minutes with an additional 5 minutes for discussion. PCs and data projection units (LCDs) supporting XGA will be available at each workshop site for PowerPoint presentations. DVDs and video VHS (NTSC format) will be made available upon request. All workshop PCs will be loaded with the Windows XP Operating System and PowerPoint XP. There will be limited support for computer full-motion video (.mpg, .mov, .wav, or .avi format). We strongly suggest that your presentation be developed in PowerPoint XP or a compatible version (i.e., PowerPoint X on Mac). Overhead projectors will not be available.

Presenters will be required to report to the speaker-ready room a minimum of three hours prior to the commencement of their session with their PowerPoint presentation saved in one of the following formats: A USB flash drive is preferred; or CD-ROM, DVD-ROM, 100 or 250 MB zip disk (Mac or PC formatted). Presenters must preview their presentations prior to their session; the presentations will be downloaded onto workshop PCs. It will not be possible to use personal laptop computers for workshop presentations. Any questions regarding audiovisual arrangements may be directed to av@asv2005.com.

Selection of Abstracts for Workshops
All abstracts will be reviewed by leaders in the field under the #1 "Topic Preference" designated on the abstract form. Because of the large number of requests for oral presentations, some workshop requests may be assigned to poster presentations or, in other cases, may be assigned for oral presentation in the workshop session of the #2 "Topic Preference."

Selection of Abstracts for Posters
Every effort will be made to assign abstracts requesting poster presentations to the session of the #1 "Topic Preference." Experience has shown that poster presentations are very well attended and afford the presenters a wonderful opportunity to discuss their data in detail with a large number of meeting attendees. When considering whether to request a poster presentation, please remember that some research of excellent quality may actually be optimally presented as a poster, especially if the data include complex sequencing results or require large tables or elaborate figures to portray the information coherently. Also, presenters with limited English skills may consider selecting poster presentations so that their findings can be fully understood and appreciated.

Program and Abstract Book
The scientific program and abstract book for ASV'05 will be sent in May 2005 to all current ASV members in good standing (2005 dues current). ASV members receiving the advance program should bring it with them to the meeting. All nonmembers and other registered participants will receive the scientific program and abstract book when they check in at the meeting registration desk.

Online Publication of Abstracts
Abstracts will be available online from early April 2005 through the close of the meeting for the convenience of participants in creating an advance meeting itinerary.

Information presented at the ASV'05 meeting or contained in the scientific program and abstract book should not be cited as a publication. This material can be cited as a personal communication only after consent of the senior author has been obtained.
